Job Requests

Jobs

The Facilities Management Unit manage a wide variety of jobs that are required from time to time by Schools or Sections, Faculties or Divisions. There is no definitive list of what constitutes a Job. Jobs include the provision of signage, special cleaning, special security, moving and removal of portable furniture and artwork, hanging of clocks, noticeboards, whiteboards, changing of locks.

Funding of Jobs

Jobs are funded by the Faculty, School, Division or Section.

Quotes

A quote will not normally be provided for jobs that are expected to be less than $1,000. A quote should normally only be obtained where there is a high probability of the works proceedings. Quotes are usually valid for a limited period only.

Cost Estimates

A cost estimate would provide the Requestor with an indication of the likely cost of the Job. It is important to note that a cost estimate is not an agreed price for the works. The requestor should also take into account that a cost estimate will become out-of-date with passage of time or where the detailed scope and specifications differ from the original request for a job.

Submitting a Job Request for Cost Estimate/Quote

A request for a cost estimate or quote should be completed by an authorised officer and sent electronically to Asset Management Services via the Pinnacle Job Request System. Sufficient time should be allowed for the cost estimate/quote to be arranged. Depending on the nature of the Job, a period of three weeks is not unusual.

Submitting a Job Request that has School/Section funding approval

A hard copy of all Job Requests that are charged to a School or Section should include the Budget Centre’s Account Code that is to be debited on completion of the works and must be signed in line with the University’s Delegation of Authority. The signed hard copy should be sent to the Asset Management Services’ Help Desk at Launceston or Hobart as appropriate. Because of the University’s audit requirements, an electronic job request is not sufficient authorisation for a job to proceed.

On Completion of the Job

On completion of the Job, the AMS Help Desk will advise the relevant School/Section of the actual cost of the Job. The AMS Help Desk will prepare an internal journal transfer to send to Financial and Business Services and will attach the appropriately signed Job Request as authority for the transfer of funds.

Time Lines

The Job Request should indicate the date when the works are to be completed by. Sufficient time should be allowed for the Job to be arranged.
