Koonya Field Station - Booking Procedure and Conditions of Hire

Background

Koonya is a field station that is located on the Tasman Peninsular close to the township of Nubeena. Koonya's purpose is to provide accommodation for staff and students undertaking University teaching and research activities. Because these relate to core University business they have priority when it comes to booking the accommodation.

When Koonya is not required for these core activities the field station is made available to University staff for private hire. The rates charged matches those of the nearest equivalent accommodation ie the Eaglehawk Neck Backpackers Hostel.

The following procedure has been designed to ensure that both user groups are treated fairly and that although institutional use has priority, some certainty can be provided to those who make private bookings.


Booking Procedure

  • To be guaranteed use at the preferred time during the academic year, University bookings should be made by 1 October of the preceding year, ie by 1 October 2006 for use during the 2007 academic year.
  • To be guaranteed a booking during the summer non-teaching period, University bookings need to be made by 1 August of the preceding year, ie book by 1 August 2006 for use between December 2006 and February 2007.
  • Private bookings for use during the summer period will be accepted at any time but will not be confirmed until after 1 August of the preceding year.
  • Private bookings for all other times will be accepted but will not be confirmed until after 1 October of the preceding year.

Conditions of Hire

  • Koonya Field Station occupancy must be limited to 20 people only at any one time due to fire safety regulations.
  • Arrival time is 2pm unless by prior arrangement.
  • Property must be vacated by 11am on departure date to allow for caretaker access, unless by prior arrangement.
  • Bunks must not be stacked more that 2 high.
  • All furniture must be returned to original location. The Property must be left in a clean and tidy condition.
  • Pets are not permitted.
  • Rubbish and unused food must be removed (tip at Nubeena). There is a wheelie bin & recycle bin on the property, however please do not use unless you will be there to put it out for collection by 6am Saturday mornings.
  • Toilets are on a septic system and care must be taken to avoid blockages. Cigarette butts, sanitary items and other rubbish must not be put into the toilets.
  • All windows and doors must be securely locked by the hirer on departure. Electricity mains must be switched off. DO NOT switch the hot water off.
  • Payment must be made at the Cashier’s Desk, Administration Building, and a copy of the receipt provided to AMS on collection of keys.
  • If a booking is cancelled within 7 days of commencement of hire, and a comparable booking is not found, the minimum rates for the booking may be charged at the University’s discretion. Failure to notify will be regarded as a cancellation.
  • Bookings will not be confirmed more than 12 months in advance, except inaccordance with the Koonya Booking Procedure.
  • The terms “applicant” and “hirer” are used interchangeably, and include the applicant’s organisation.
  • The dam on the property is unfenced and children must be supervised at all times.
  • Fires are only to be lit in fireplaces with fireguards supplied.
  • SMOKING IS NOT PERMITTED in the Building or within 10m of any entrances or exits.
  • Bookings will not be confirmed until the Koonya Booking Application Form is received.

Koonya Booking Application Form

By lodging the Koonya Application Form, the applicant warrants that he or she is authorised to accept full responsibility for each person occupying the property during the approved period of occupation and agrees to comply with all the conditions of hire, and with any additional conditions notified to the applicant prior to the commencement of the hire period.

The applicant agrees to occupy, use and keep the Koonya Field Station at the risk of the applicant for the period of hire, and releases to the full extent permitted by law the University and its servants, officers and agents from all claims and demands of every kind resulting from any accident, damage, loss, death or injury occurring in any part of the Building or outside the Building except to the extent that the same is caused by negligence on the part of the University or its servants, officers or agents.
