Minor Works

Definition of Minor Works

Minor works include works/repairs that are required to enhance assets/facilities to standards suitable for their intended function. This includes refurbishment.

Funding for Minor Works

Minor Works are usually funded by the Faculty, School, Division or Section.

Approval for Minor Works

The Director of Asset Management Services manages all maintenance and minor and major works on University buildings and site infrastructure. Approval should be obtained before undertaking any works. Submitting a Minor Works Request

A Minor Works Request form must be filled in for all Minor Works requests. It is important that as much information as possible is provided to ensure that the Request is dealt with as soon and as efficiently as possible.

A request based on the Project Submission Template must be completed for all Works requests that are to be considered for funding from the Capital Management Plan..

Change of Space Function

It is recommended that where there is a proposed change to the function of space, Schools/Sections discuss their proposal with the Manager, Capital Planning and Management prior to finalising their plans and prior to submitting a Minor Works Request. Works that involve a change to the function of space will not proceed until the changes have been authorised.

Cost Estimates

A cost estimate would provide the Requestor with an indication of the likely cost of the project. It is important to note that a cost estimate is not an agreed price for the works. The requestor should also take into account that a cost estimate will become out-of-date with the passage of time or where the detailed scope and specifications differ from the original scope and specifications.

Quotes

Cost estimates can be firmed up with formal contractor quotes after funding of works is approved. Quotes will be based on highly detailed scopes and specifications and in most cases building surveyor recommendations for "certification of likely compliance" with building codes. A quote will not normally be provided for works that are expected to be less than $1,000. Quotes are valid for a limited period only as provided by a Service Provider. Thirty days is the norm.

Cost of Development of Minor Works Proposal

Any costs associated with the development of the Proposal are to be borne by the Faculty /Division/ School or Section.

Time Lines

The Minor Works Request must indicate the date when the works are expected to be undertaken. Where quotes or cost estimates are required sufficient time should be allowed. Depending on the number of Minor Works requests submitted to AMS, complexity of the Works and the requirement for external consultancies, a period of six to eight weeks or longer would not be unusual.
