Setting up a stall - Booking Procedures and Conditions of Approval

Stalls are usually set up by affiliated Student Clubs and Societies as part of their Orientation activities at the beginning of the academic semester. Requests are also received from time to time from external organisations for purposes of fund raising. These latter requests will only be approved by the Director of Asset Management Services on the advice of the University’s Public Relations Unit. Approval to set up a stall by any organisation or group must be obtained from the Director of Asset Management Services (or delegate) prior to setting up a Stall on University campus. Please note that the University does not supply Stalls.


Conditions

  • The Occupier is required to comply with the University’s Occupational Health and Safety Regulations.
  • No sandwich boards or other obstructions to traffic is permitted.
  • The Occupier is required to leave the site in tidy condition.

Approval

To gain approval to set up a Stall, a Setting up of Stall on University Campus Application and Indemnity Form must be completed. By signing this form, the Occupier agrees to ensure compliance by participants with all applicable laws including fire restrictions and University By Laws. The Occupier agrees to indemnify the University and its servants, officers and agents against any liability whatsoever to any person, firm, body, instrumentality or company in respect of any claim, demand, dispute or proceedings of whatever nature for loss or damage including personal injury or death, resulting from or arising out of or as a consequence of the Occupier’s setting up a stall on the University site, or occurring while the Occupier is in occupation of the site, and caused by any cause whatsoever including negligence of the University.

Please allow at least 5 working days for the approval process.


Requirement for Public Liability Insurance

All users of University venues must be covered by an appropriate public liability insurance policy. The user must provide evidence of a current public liability insurance policy for an amount not less than $10m. Please include details of this insurance with your Setting up of Stall on University Campus Application and Indemnity Form.

Schools/Sections of the University and Club & Societies officially affiliated with the University are automatically covered by University insurance policy and are not required to provide evidence of cover.


Consumption of Alcohol

The Occupier must make him/herself aware of, and comply with the University’s Liquor Policy, if alcohol is to be consumed at the site.
