2009 re-enrolment & enrolment Information for new and current students

WHO TO CONTACT

All students, both new and continuing, should obtain enrolment advice before completing their enrolment.  For enrolment advice directly related to the course that you are studying, contact your  Faculty Officer.

ENROLMENT PROCESS

What is eStudentCentre?

Familiarise yourself with the rules and schedules of your degree

Work out which units you will study in your degree

Complete your enrolment (online / in person)

Confirmation of enrolment from Student Centre

Enrolment approval from Faculty

1.  What is eStudentCentre?

The UTas eStudentCentre provides students with the ability to view and manage their student enrolment and student details online.  For example you can enroll online, vary your enrolment online, change your expected graduation date, amend your personal details, access your timetable, access your Enrolment Statements or Fee Invoices, to name a few.
You can access eStudentCentre by going to www.utas.edu.au and select the ‘Current Students’ link or go there directly by select one of the ‘eStudentCentre’ links below.

2. Familiarise yourself with the rules and schedules of your degree

Each degree has course specifications (ie course structure or rules for completion) together with a schedule of units which are the principle references you should use when choosing your units. You should read the course structure information together with the schedules, before selecting your units.
This information is available on the UTAS 'Courses and Units' website - follow this link for Arts courses

  • Select the link for ‘Structure and Schedules', which appears directly under the heading of the degree
  • The course structure will appear on the next screen page and on the left hand side of screen, you will find the schedules. Select the relevant 'Schedule' heading for information about units at a particular year level of the degree, or in a particular major/specialisation.

3.  Work out which units you will study in your degree

For some degrees there are no choices to be made but for others, you have to decide which units you want to study.
For most of the degrees, you can use a course planner to map out your intended enrolment.

Class Timetable Information

Timetable information for units is available online only, click here to go directly to the Class Timetable webpage.
Timetable clashes should be avoided where possible. It is not possible for the Faculty to guarantee a clash-free timetable for all students.
Your personal timetable can be accessed 24 hours after your enrolment has been processed - open the Class Timetable webpage and enter your Student ID number.

Applications for Credit

If you wish to seek credit (or exemption) for previous study you must submit a credit application form and supporting documentation to the Faculty Office, well in advance of the semester start date, for consideration.  Credit cannot be processed if documentation is incomplete.
Please note that it can take up to 4 weeks for credit to be processed.

Deferring an Enrolment

There are forms that must be completed to advise us if you wish to defer your enrolment (new students) or to take a leave of absence from study for a period longer than 1 semester (continuing students).  These forms are available online on the University's Current Students, Forms Directory website.
If you are an international student, you must seek advice from International Services if you need to intermit your studies.

4.  Complete your enrolment

Most students will complete their enrolment online through the eStudentCentre.

  • Select the Unit Code, Study Centre, Semester and Attendance Mode for each unit you wish to enrol in.  IMPORTANT ALERT: in some cases it is possible for 1 unit eg HGA101 Sociology A, to be offered in Launceston and Hobart and Burnie and by Distance. Be sure to select the correct campus/mode for your enrolment.  In other instances, 1 unit eg FSD150 Introduction to Life Drawing, could be offered in either sem 1 or sem 2. Again you need to select the correct semester for your enrolment.
  • Also fill out your expected graduation semester and year - and your major, if known.
  • Your enrolment is only saved when you click on the 'Submit' button at the end of the online process.

To complete your enrolment in person, print out your latest enrolment statement (through the eStudentCentre, or the on-campus Student Centre), fill in the unit information as above, take the form to your Faculty Officer for approval and then lodge it for processing at the on-campus Student Centre.
There will be an opportunity for you to vary your enrolment, should you change your mind about your unit selection. You can vary your enrolment any time up until the Census Date  without any penalties, providing you have the Unit Coordinator's and Faculty Officer's approval for addition of units after Week 2 of semester.
If withdrawal after the census date is for medical or other reasons you can apply for a withdrawal without academic penalty and a remission of fees.
Please note that variations to your enrolment can impact on academic progress, fee liability or other entitlements (e.g. Centrelink benefits).  If you are an international student you are required to maintain a full-time enrolment as a condition of your student visa.

Graduation Details

It is of utmost importance that you register your expected completion date as this can impact on when you graduate. Delays in graduation could result if this information is not completed or if it is incorrect. You should revise your graduation details, if required, each time you re-enrol.
You can update your graduation details online through the eStudentCentre.

Personal Details

You must keep the University informed of your personal details (addresses, telephone contacts, citizenship etc.) particularly if these have changed since your last enrolment.  Your contact details are important should we find it necessary to get in touch with you.
You can update your contact details online through the eStudentCentre.

Our main means of communication with you is via email. You should check your UTas email account at least once a week as important information regarding your enrolment may be sent to it.  If wanting to correspond with UTas about your study, you must use your UTas email account and remember to include your full name and Student Id No.

5.  Confirmation of Enrolment

Once you have enrolled an ENROLMENT CONFIRMATION is generated and emailed to you.  You must check your enrolment confirmation statement carefully to ensure it is correct, as mistakes or omissions can be made.  If you find an omission, please contact a Faculty Officer immediately.

6.  Enrolment approval

Students who enrol online will have their enrolment checked and approved electronically by a Faculty Officer.  It is important to note, however, it is not always possible for electronic approval to be done before the census date. So if you are not familiar with the rules of your degree and are uncertain that your unit choices are correct units for your majors or graduation purposes, be proactive and contact a Faculty Officer in person, by telephone or email, before the census date (ie last date to vary your enrolment without penalty).
If you enrol in person using an enrolment form, a Faculty Officer will sign your form once it has been checked and approved.
You should regularly check the approval status of your enrolment on the eStudentCentre.  You should also check your email account as we will normally alert you to any enrolment problems via email.

  • Course Approval Status "NOT APPROVED" - contact your Degree Coordinator or Faculty Officer without delay.
  • Course Approval Status "APPROVED" - indicates that your enrolment can proceed without any further action. Any future amendments are subject to re-assessment.
  • Course Approval Status "NOT YET APPROVED" - indicates that Faculty staff have not yet assessed your enrolment for course approval. If Census Date is approaching and your enrolment has not been APPROVED please contact a Faculty Officer immediately.

Special approvals

  • Overloads (i.e. more than 50% enrolment in a semester) - formal approval required from your Faculty Officer.
  • Waivers of unit pre-requisites - formal approval required from your Head of School, in writing.

Still need assistance with your enrolment or other issues related to your study?
Please contact a Faculty Officer as we are here to help you.
