Digital Copyright Managment System (DCMS)

University staff making third party in-copyright materials available to to students online will need to register most materials using the DCMS unless they are using the Library's eReserve. The DCMS is the University's software system for recording and storing in-copyright materials. The DCMS is normally used in conjunction with MyLO.

The DCMS is part of the University approved system for the communication of material copied under the Copyright Act Part VB license negotiated with CAL (Copyright Agency Ltd). The communication of in-copyright materials (for access by staff and/or students) from other systems is not permitted under the University's policy.

The University will be sampled periodically under the CAL license for both electronic and hardcopy copyright compliance and it is essential all in-copyright works communicated by university staff are registered. If staff do not want to scan, register and communicate material themselves, they can use the Library's eReserve.

When do I use the DCMS?
When you communicate textual material copied under the University’s statutory copyright licence through MyLO you should use the DCMS to store and record the details of the items. The types of material you should put in the DCMS include book chapters, journal articles, conference papers etc, the copyright of which neither you nor the University owns.

Why can't I put content straight into MyLO?
Our statutory licence, which allows us to copy and communicate material for educational purposes, requires us to record the full details of the material for reporting to the Copyright Agency Limited (CAL). If you put material directly into MyLO, this information is not readily available. Also, the licence has various limit restrictions. (eg one chapter or 10% of a book, or 1 article per journal issue). These limits apply across the University—so putting material directly in MyLO would mean the University could inadvertently exceed the copying limits

Adding an Items to the DCMS through MyLO

  1. Log into MyLO and go to your unit and choose the build view.
  2. Go to course content and click Add content link
  3. A drop down menu appears – click Library Add Item
  4. Click Create Library Add Item
  5. Click on Course Materials
  6. Click on Items for MyLO
  7. A screen with editable fields will appear. The first field is a drop down list. Choose either Book Chapter, Journal Article, or Other.
  8. Complete the fields as required with the fullest detail you have available.
  9. Go the upload file field at the bottom of the page and click Browse to find the file on your computer you want and then click ATTACH.
  10. Click Save and then Publish, and then Select this item
  11. Click Select next to the file icon and name.
    A link will now appear in MyLO. To test it, go to the student view and click on the link. You can change the text on the link by clicking on the link tab in build view.

Linking to Existing Items in the DCMS through MyLO

  1. Log into MyLO and go to your unit and choose the build view.
  2. Go to course content and click Add content link
  3. A drop down menu appears – click Library Search
  4. Click Create Library Search
  5. A screen with a seach box and a browse button will appear
  6. You can either search for the item you want using keywords or browse using the browse hierachy.
  7. Click on the title on the item.
  8. If the Item is inactive you will need to click on activate and add next to the file icon, if the item is active simply click select next to the file icon.
    A link will now appear in MyLO. To test it, go to the student view and click on the link. You can change the text on the link by clicking on the link tab in build view.

Logging into the DCMS directly to search for, store or edit items.

You can also add content or edit content by directly logging into the DCMS. To do this go to: http://elibrary.utas.edu.au/utas/logon.do and use your Novell network username and password to log in.

TO ADD CONTENT:

  1. Click on Course Materials
  2. Click on Items for MyLO
  3. A screen with editable fields will appear. The first field is a drop down list. Choose either Book Chapter, Journal Article, or Other.
  4. Complete the fields as required with the fullest detail you have available.
  5. Go the upload file field at the bottom of the page and click Browse to find the file on your computer you want and then click ATTACH.
  6. Click Save and then Publish or Save Draft. You will only be able to use the item in MyLO if you click save and then publish.

TO EDIT CONTENT

  1. Use the search or browse functions to find the item you want to edit.
  2. Click on the title of the item.
  3. Click on the administer tab above the item record. Click edit.

What if I want to use an In-Copyright Image ?

You can continue to put images directly into MyLO if they meet the following criteria:

  1. the image is not commercially available or
  2. the image has not been published separately or
  3. the image is an incidental element on a page (and you’ve reproduced the whole page).

If you put an image into MyLO you must be prepared to give full information about it when a copyright survey period is declared. Therefore, you’ll need to know the source of the image, the creator and copyright owner and be able to give this information on request.

You can store images in the DCMS rather than MyLO if you’re interested in building up an image library to use over time. You can then search on these if you’re interested in building up an image Library to use over time. You can then search on these images and retrieve them when needed

I already have material in the old Masterfile system. What do I do now?

All the content in Masterfile has been transferred to the new DCMS. If you already have links in MyLO to content you’ve stored in Masterfile please contact the Copyright Officer (details below) and you can either have instructions on how to change the links yourself sent to you or arrange for someone to come and help you change the links at your desk.

Troubleshooting

if you cannot log in to Equella, or if you're using MyLO and see a log in screen in the build area after clicking one of the Library Item links under Add Content Link, you can call 2228 for help (If you are not a regular Novell user you can try synchronising your password with your pop account passowrd - you can do this by clicking here: synchronise your password.)

If you can log in but see the message 'You have no areas to which to contribute' call 2228 to have the permissions on your username upgraded.
