On average we process around 26,000 payments to casual employees per year.
During semester time, payments to casual staff may be around 1,400 payments per fortnight (the actual number of claims are higher).

On average we process around 10,300 leave bookings.
Of these approx. 5,100 relate to requests for periods of Annual Leave and 750 for Long Service Leave.

Benefits:
- Casual employee knows exactly where their claim is in the process. ie:
- Whether it is with an approver awaiting approval.
- Whether it has been approved and is awaiting processing in the next payrun.
- Casual employee has historical record of all the claims they have submitted via the Kiosk.
- Approver has historical record of claims that have been approved and submitted for payment.
- Casual payslips will be provided via Employee Web Kiosk:
- Casual employee able to see all lines of payslip not just top 3 lines as per the printed versions.
- Casual employee no longer needs to chase payslips around as jobs start and finish
(Printed payslips automatically go to the location of the lowest job number that is still current)
- Elimination of multiple handling. Once approved the timesheet goes directly into the HRMS ready for payment.

- Whether it has been rejected (not approved).
- Whether it has been esclated to a higher level approver.
- No hold-ups or potential loss of applications in the mail.
- Employee/Approver has historical record of leave requests.
- Employee/Approver has access to leave balances.
- Approver has access to leave matrix providing a configurable view of staff leave that has been processed.
- Elimination of multiple handling. Once approved the leave request goes directly into the HRMS.

Approval Structures
The Approval Structure is the mechanism which maps all of the HRMS approval relationships throughout the University. Both the Timesheet Approvals and the Leave Approvals are catered for by the same Approval Structure. Any further developments will also fit under the same Approval Structure so it will need to cater for all types of transactions.
Almost all Budget Centres have been set up with an initial Approval Structure (based on previous consultations). Prior to the release of these electronic processing tools each Budget Centre will need to formally sign off on their Approval Structures. As you would recognise, the maintenance of this structure is very important in proving seamless processing and as such most Human Resource forms have provision for advising information or confirming the approver for staffing positions.
