Reserve and eReserve information for Academic staff

 

Reserve is a collection of high demand books, DVDs and other items required for unit readings.  All UTAS Library locations maintain Reserve collections.  Reserve items generally are available for loan for two hours.  2-hour Reserve item may be borrowed overnight from 6:00 p.m. or from two hours before closing, if there is no Advanced Booking on the item.  In some situations, an item may be available as a 1-Day Reserve.  From 2008, 1-Day Reserve items are due back the next day, one hour after the issuing library opens.

A 2-Hour Reserve or 1-Day Reserve item may be renewed one time, if there is no Advanced Booking. 

Advance bookings for Reserve items can be made via the Library catalogue.

eReserve is a collection of high demand electronic documents available from the Library catalogue.  eReserve is restricted to journal articles and book chapters that the Library  only holds in print or obtains via Document Delivery and scans for electronic access.  Access is by email user name and password for authentication.  eReserve provides access to exam papers from 1995 to the previous semester (as released by the Examinations Office).

Generally, an article or book chapter held electronically by the Library in a database will not be accessible in eReserve.    Students are encouraged to use the Library catalogue or CrossSearch to access articles and other documents held in electronic full-text collections.  The Library does not provide links in eReserve to sources freely available via the Internet.  For hosted sources, lecturers are encouraged to include URLs in the citations given in the reading lists.

 In 2008, the Library reviewed the Reserve and eReserve services.  More detailed information on Reserve and eReserve services is provided below.

Reading List Submission and Processing

From 2008, requests for Reserve items must be submitted online using the Request Reserve form

Using the Request Reserve form ensures that the Library has sufficient unit information to provide the necessary number of copies at the right locations to meet student needs.  This information includes the unit code and title, teaching delivery methods and locations as well as anticipated student numbers.

The Request Reserve form also contains a text box where citations for requested items can be copied and pasted from other documents, such as the unit outline or draft reading lists.  If items are held in the UTAS Library, the 'My List' function can be used to create lists of citations that can be pasted into the text box.  Before using My List, log into the My Account service with your Staff ID number and Library PIN in order to have access to all My List features.

There is no need to wait until the reading list is complete before submitting a Request Reserve form. Lecturers are encouraged to submit Reserve requests as often as necessary using the online form.

Reserve Requests are processed in the order they are received online by the Library.

The Library has established additional service standards for processing Reserve requests.  When Reserve requests are received 8 weeks before the start of semester, the Library will commit to have all items held within the collection available for the first week of teaching.  When Reserve requests are received 4 weeks before the start of semester, the Library will endeavour to have all items held within the collection available for the first week of teaching.  From the first week teaching, the Library will continue to process reading lists, but cannot assume responsibility for the availability of items or electronic documents in time for student needs.

Reserve Items

 

For the majority of Reserve requests for books, DVDs and other items, Library will provide a copy or copies from the current collection.  When requested items are not in the collection, the Library will endeavour to provide Reserve texts by ordering copies.  When requested items are not commercially obtainable or can not be acquired in time for teaching purposes, the Library will work with lecturers to provide alternate items or personal copies of the requested items.

The Reserve Coordinator will provide lecturers with status reports on outstanding requested items that have been ordered.  After the initial status report, lecturers may ask for subsequent updates by contacting the Reserve Coordinator by email at Reserve.Coordinator@utas.edu.au.

All Reserve items are withdrawn from Reserve collections at the end of the unit after the Supplementary Exam Period.  Reserve is not a permanent collection.

eReserve Articles, Book Extracts and Exams

 

eReserve provides access via the Reserve Book Room (Library catalogue) to electronic versions of journal articles and book chapters that otherwise  would be available only in print.

eReserve also provides access to exams from 1995 to the previous semester as released by the Examinations Office.  Examinations are published twice a year by the Examinations Office in January/February for Semester 1 of the previous year and in April/May for Semester 2 of the previous year.  The Library endeavours to have the exams scanned and accessible as soon as possible after their receipt from the Examinations Office.  Some exams will not be released for publication at the request of the lecturer.

The service standards for Reserve items apply to eReserve items but under the best conditions preparation of documents for eReserve requires several working days. Occasionally a Reserve request for a print article or book chapter  that has been submitted online with the 8 week period  is not accessible via eReserve.  In this situation, the lecturer is asked to contact their Liaison Librarian who will work with the Reserve Coordinator to investigate and resolve the problem.

All eReserve documents, except exams, are archived at the end of unit after the Supplementary Exam Period.

eReserve no longer serves as an access point for journal articles held as full-text documents in UTAS databases.  Electronic journal articles may be found by searching the Library catalogue by the journal or serial title and linking to the electronic version of the journal.  CrossSearch provides a more direct link to specific journal articles. If the Library does not have electronic access to the full content of the article, the article will be obtained from the print collection or from another library for scanning and inclusion in eReserve.  Resources freely available via the Internet are not accessible in eReserve.  For access to hosted resources, lecturers are encouraged to include URLs in citations provided in reading lists.

Copyright Guidance for eReserve

 

For eReserve purposes, the Copyright Agency Limited (CAL) license informs Library decisions on the number of journal articles or amount of book extract that can be made accessible simultaneously.  The CAL guidelines apply as follows.

Books: 1 chapter or 10% which ever is greater may be made accessible simultaneously via eReserve.

Journal articles: 1 article from an issue of a journal or 2 articles, if on the same topic, may be made accessible simultaneously via eReserve.

Anthologies: 15  pages of a single work may be made accessible simultaneously via eReserve.

Only one chapter (or equivalent) may be published on eReserve at one time.  It is against the spirit of the copyright regulations to make successive book chapters accessible on a weekly basis and to make multiple chapters accessible simultaneously. The length of time between publishing successive chapters is 2 weeks or longer.

DCMS (Digital Copyright Management System) and eReserve

  • If you have electronic documents residing on the DCMS server, let the Reserve Coordinator know and these can be linked to the Library's catalogue.


Role of Liaison Librarians

 

Liaison Librarians are assigned to teams that liaise with individual faculties of the University.  They are the contact persons for any Library related matter regarding teaching, research, library collections and information skills training.  Liaison Librarians working with you will be notified when required readings have to be purchased for Reserve. Your Liaison Librarian may contact you about using alternative items.  In addition to submitting Reserve requests for unit reading lists online, please provide your Liaison Librarian with a copy of the unit outline to help them support your unit requirements and the information skills training needs of your students
