An Electronic Document and Records Management System (EDRMS) is a system which captures, manages and provides access to records and information through time. The University currently utilises HP TRIM (referred to as TRIM) as its EDRMS to manage all business information including administrative, research, teaching and course material regardless of format.
TRIM can provide:
Microsoft Office applications have a direct interface with TRIM whilst other applications are able to be imported by various methods, such as drag & drop. This ensures that all business documentation can be saved into TRIM with as little disruption as possible to normal work processes. TRIM also has an offline facility if you require documents from TRIM when you are not in the office.
TRIM includes a classification scheme, disposal & retention functionality, a contacts database and the ability to track information across the University. It also has the capacity to integrate with other business systems such as SharePoint, the Research Management Data Base, TechnologyOne Financials, the Human Resources Management System and others.
TRIM is currently utilised by the following business units: Vice-Chancellor's Office, Provost's Office, Deputy Vice-Chancellor's (Research) Office, Deputy Vice-Chancellor’s (Students & Education) Office, Chief Operating Officer’s Office, Executive Director, Strategy’s Office, Chief Financial Officer’s Office, Director Events & Protocol, Commercial Services & Development Division (including Accommodation Services, Property Services & Campus Services), Menzies Research Institute (Grants & Administrative), Research Services (Grants Contracts & Legal Officers), Student Centre (Director’s Office), Work Health & Safety Office and Legal Compliance Workflow project representatives.
Other business areas wishing to request TRIM access may use the Application for TRIM Access form, but should be aware that TRIM is currently rolled out to new business areas on a case by case basis. A business case is required to substantiate the need for a roll-out to an additional area and a formalised project will be set up to support planning and implementation. Please note that the Records Management Unit has limited resources to implement and support large installations, so consultants may need to be engaged to assist with business analysis, configuration and training requirements.See Information Sheet 13 - Access to TRIM.
Introductory training is provided to all new TRIM users, but if you are an existing TRIM user and would like a refresher training session, please contact the Manager, Records and Information.
