About the Copying and Printing System (CAPS)
CAPS is the University photocopying and printing payment system. Each ID Card automatically has a CAPS account created for it and the account is active and ready to use. Accounts start with a zero balance. Students must use their University ID Cards to add funds to their CAPS accounts and to activate copying on the photocopiers.

Your ID Card is your CAPS card
To use the photocopiers and printers in the University of Tasmania Libraries and other locations you need to have credit in your CAPS account. You may access this account with your University of Tasmania ID Card.

What if I am not entitled to an ID Card?
If you are not entitled to a University of Tasmania ID Card, you can buy a reusable Copy Card for $2.00 from the Coin Machines in the Libraries:
- Press the black Eject button once to purchase a card.
- Insert at least $2 worth of coins.
- Press the black Eject button to finish.
A card will eject.
- The card will be dispensed with $0.96 credit. Any amount deposited over $2 will be added to $0.96.

How do I find out my balance or view my transaction record?
An account balance is shown when you use your card in a CAPS cash in point, or copier/microform terminal or when you initiate a print job. CAPS cashiers can check your balance and provide a recent transaction history if required.
Can I get a refund for money in my CAPS account?
Refunds for outstanding balances are not provided unless you are leaving the University and wish to close your account. A refund can be obtained at the Library Service Desk in the Morris Miller or Newnham Libraries.
Adding Funds to Your CAPS Account
The first step is to ensure you have money in a CAPS account by using your UTAS ID card to add credit. There are several ways to add credit to your account:
Coin machines
CAPS Coin Machines allow you to check your CAPS balance and add funds to your account.
Also, if you are not entitled to a University ID card, you can buy a “Casual” copy card from the Library Coin Machines.
CAPS Coin Machines are located:
- In each branch Library (Morris Miller, Newnham, Science, Law, Art, Music, Clinical).
- The TIAR learning hub at Sandy Bay.
- The Sir Raymond Ferrall Centre learning hub at Newnham.
- The Architecture learning hub at Inveresk.
- The Student Association Resource Centre at Newnham.
- The Information Resources Area and TAFE Campus Link at the Cradle Coast Campus.
- The Commerce Building at Sandy Bay.
- The AMC Library at Newnham.
Coin Machines accept all coin denominations from $0.05 cents to $2.00.
Look for the aluminium boxes on metal stands (the exception is the TIAR learning hub where the machine is built into the wall near the external entrance).
To add funds to your CAPS account gently insert your card into the Coin Machine, as indicated in the picture on the front panel. Your CAPS balance will appear on the small LCD screen. Insert coins one at a time. The balance display will increase. When finished, press the button to retrieve your card.
Self serve EFTPOS
Self Serve EFTPOS stations allow you to EFTPOS funds from your debit card only to your CAPS account. The minimum deposit is $5 and the maximum is $50. There are no fees levied for EFTPOS transactions. Self Serve EFTPOS will only accept debit cards. Please retain your receipt.
Self Serve EFTPOS machines are located:
- At the Art, Newnham and Morris Miller (Sandy Bay) libraries
- The TIAR, Sir Raymond Ferrall Centre and Architecture Learning Hubs
- The library at Jane Franklin Hall
- The Cradle Coast Campus Administraion Building
To use a SS EFTPOS station:
- Get both your debit card and your ID or copy card ready.
There is a short timeout for transactions to be completed, so it’s best to be prepared.
- Move the mouse to wake the screen and click Log On.
- When prompted, swipe your ID or copy card through the BEAR reader.
- When prompted, type your PIN in the BEAR reader and press Enter.
- Using the BEAR reader, enter the amount to be deposited in whole dollars, no decimal points.
- On the screen, click Reload Now.
- Insert your debit card into the EFTPOS device with the magnetic strip facing away from you, on the left side.
- Select Savings (other options will produce an error and the transaction will be declined).
- Enter your Bank PIN in the EFTPOS device, and press Enter.
Your payment will be processed and a receipt issued. Please retain the receipt. If your receipt has pink marks on it, notify the Service Desk so a new paper roll can be installed.
Assisted EFTPOS
Assisted EFTPOS is available at all Branch Library Client Services Desks (including AMC Library), and the Administration Office at the Cradle Coast Campus. Our helpful staff will assist you in transferring funds via EFTPOS using your debit card onto your CAPS account.
Assisted cash deposits
Cash deposits are accepted at the Cradle Coast Campus reception area. Cash deposits are also accepted in some school administration areas such as the Information Systems and Earth Science receptions in Sandy Bay. Check with your school to see if they provide the service. Please note, the Library Branches do not accept cash over the counter.
CAPS IDRs
University staff and postgraduates have the additional option of sending an Inter-Departmental Requisition (IDR) from their School Office Manager. The IDR must have the username of the person or persons whose account is to be credited and the amount. If the IDR is to go to a "collective" (shared) account then the IDR must state the name of the account. Failure to include this information will delay the processing of the IDR. Note: CAPS IDRs can only be processed on business days and a 24 hour delay should be expected. However if the IDR is urgent then it can be faxed to ext. 3055 to expedite processing. The original must still be posted to the address above.
Photocopying
Where are the copiers located?
Each branch Library contains at least one B&W photocopier which can print A4 and A3. Photocopiers are also located at various other locations around the campuses such as some administration areas, Learning Hubs and some Schools. There are few colour photocopiers in the Libraries or the Schools. Uniprint are a good source for colour copying services.
There are several copier brands in use around the University. For assistance in operating specific copiers please ask local staff or refer to any instructional posters located near the copiers.
How do I use my CAPS account with a photocopier?
To make copies on a CAPS photocopier you will need to have credit in your CAPS account.
- To initiate a copying session, swipe your card through the CAPS card reader attached to a CAPS copier. The black magnetic stripe on the rear of the card must be down and facing away from you.

- You will be prompted to enter your PIN, or to enter a new PIN if you have not already associated one with your ID Card.
- Your account balance will be displayed. Check that you have enough credit to make your copies.
- You can then proceed to make copies using the controls on the copier.
- Once you have finished making copies press the "Enter" button on the ID Card reader to close your account. If you do not do this the account will time out 45 seconds after the last page is printed.
How do I use the photocopiers?
How to use the copiers varies according to manufacturer, but generally the following applies. Begin by opening your CAPS account on the photocopier using the instructions above.
Note: Your should press the "Function Clear" button (depending on the copier brand) before copying, as this will clear any settings from previous users. To then perform a copy:
- Place your original, face-down, on the glass plate of the copier and gently close the lid.
- Select the number of copies you require.
- Select any special settings you need - reduce, enlarge, etc.
- Press the green Print button.
If you want to make more than one copy of an item, it is a good idea to make a single copy first and check the print quality before proceeding.
Remember to press the "Enter" button on the card swiper to close the connection to your account.

Printing
Can I print from my personal laptop?
Currently CAPS printing from personal laptops is available for machines running Windows 2000/XP/Vista or OSX. Instructions for installation of the printer packages can be found here: Windows 2000/XP/Vista or OS X.
How do I print using CAPS?
You will need your UTAS email account name and password in order to print. You must also have enough credit in your CAPS account in order to print your job. The cost of printing varies depending on the printer, but most are $0.12 per sheet (GST inc.) for a single sided A4. Print costs should be on or near the printer as part of a poster which also shows the queue name for the printer.
In the program you are using, select print from the File menu.
If you are printing part of a web page that uses frames, click in the frame you want first. If you do not, the wrong frame may be printed.
Use the drop-down menu on the Print screen to make sure the correct printer is selected:

Click OK.
A window will appear for you to enter your email account name and password:

Enter your username and password, and then click on OK.
If you do not have sufficient funds then a popup will notify you of this. If you do have sufficient funds a window will appear with the name of the printer to which the job has been send and the cost of the print job:

If you have access to more than one account that has sufficient funds then a drop down box will allow you to select an account. Only one account will appear if you only have one account or you only have one account with sufficient funds. Click OK to confirm the print, or cancel to stop the print.
If the cost seems too expensive, you may have accidentally printed too many pages, or chosen an expensive printer (eg: colour). If it seems too cheap, you may have printed the wrong frame of a framed web page. In either case, you should click Cancel and try again.
If the cost seems correct, click OK to proceed.

A new window will appear to notify you which printer your job has been allocated to. Read the final message. The printer listed will soon produce your print job and money will be deducted from your CAPS account.
Copyright
University photocopiers must be used strictly in accordance with the provisions of the Copyright Act. In every case the onus is on the user to ensure that copying does not breach the Act -- any infringement is entirely the responsibility of the user.
