The UTAS Alumni and development database is known as Raiser's Edge and includes graduates, friends and supporters, and may also include staff and ex-staff. Graduate data is uploaded from the student administration database after graduation and friends and supporters' data is collected through their association with the University and its activities. All data is secure and is used by the University, in accordance with privacy legislation, solely for its own purposes. Access is controlled by the Public Relations and University Extension Unit (PR&UE) within the Vice-Chancellor's Division.
GUIDELINES FOR THE USE OF RAISER'S EDGE DATA
PR&UE will not release any personal data to any other organisation or individual other than those acting as agents for the University, for purposes directly related to the interests of the University and/or the University of Tasmania Alumni.
PR&UE is bound by the provisions of Personal Information Protection Act 2004 (Tas) and the University's Privacy Policy in all respects and in particular will not release personal information for marketing.
Alumni may request access to personal details collected by PR&UE in relation to themselves. PR&UE wishes to ensure that such details are always correct and up-to-date, and will amend any inaccuracies or make changes to details upon request in writing. By 2007 alumni will have on-line access to update their own personal details.
PR&UE keeps alumni data on controlled facilities, which are secured against unauthorised access.
PR&UE uses data for mailing the Alumni News and promoting alumni and University events and activities. The data also underpins fundraising initiatives and may be used for making known study opportunities, seeking feedback on University operations and initiatives and for the promotion of University benefits and services.
DATA ACCESS FOR FACULTIES AND DEPARTMENTS
Data within Raiser's Edge may be utilised by University faculties and schools in accordance with privacy legislation and University policy, for purposes directly related to the interests of the University.
Data may be provided on request and under the terms and conditions recommended by the Systems Administrator and approved by the Director of Public Relations and University Extension, acting on the advice of the Alumni Committee.
Data will normally be provided electronically as a spreadsheet. Any data provided, may not be retained but, must be destroyed once the purpose for which it has been supplied has been completed.
