A few weeks prior to project completion, the Chief Investigator (CI) and School/Institute Finance Officer will receive an email reminding them that the project is due for completion. The CI will notify their ORS Funding Officer if there are any potential variations or concerns.
If there are no variations required or concerns, the CI and School Finance Officer will ensure that all expenses have been correctly allocated to the project e.g. salaries, consumables, outstanding invoices etc.
If the CI is entitled to a consultancy bonus, they will need to complete a consultancy bonus form and forward the form to their School Finance Officer and Faculty Manager for approval.
If it is likely that the project will have unspent funds in the Tech One research account at the end-date of the project, the CI and School Finance Officer will need to ensure that they check their contract to see if there are any obligations regarding what to do with the unspent funds. Project contracts are available on the CI’s WARP page. There may be an explicit clause in the contract stating that the University must return unspent funds or that an audit or financial report must be provided to the funding body at project completion. Under these circumstances, the School Finance Officer will liaise with Financial Services finance.research@utas.edu.au at the end-date of the project to ensure the funds are returned to the Funding Body.
The CI will send the final report to their ORS Funding Officer on the due date and the ORS Funding Officer will submit the final report to the Funding Body. Once the final report has been accepted by the Funding Body, the CI needs to notify their School Finance Officer so they can complete a Project Closure Form. This form is to be completed within a month and sent to their Faculty Manager who will approve and email the form to Financial Services finance.research@utas.edu.au to close the project account.
