Copying and Printing at the University of Tasmania
Copying and Printing Services (or CAPS) are provided for both staff and students. All staff and students are provided a CAPS account automatically, but funds must be added before it can be used.
Printers can be added to your personal computer. Please see the Self-Service Portal for guides on how to do so.

What is CAPS?
CAPS is the University of Tasmania Copying and Printing Service. The CAPS system allows printing and photocopying across multiple devices and locations from a single account. All staff and students are provided with a CAPS account but funds must be added before it can be used.
How do I add money to my CAPS account?
Money can be added to your CAPS account using the online payment service, via coin cashier units in any UTAS library, or via EFTPOS at the Client Services Desk in any UTAS library (minimum EFTPOS transaction is $5).
How much does printing/photocopying cost?
Costs are calculated per page and are based on both the size of the page and whether the document is in colour or black and white.

How do I photocopy using CAPS?
- Press the "Function Clear" button on the photocopier to clear any custom settings changed by the previous user
- Swipe your card on the photocopier card reader and enter your PIN number. If it is the first time you have used the system, you will be asked to create a PIN for your account. Your PIN must be 4-8 numbers and can be reset at the Client Services Desk in any UTAS Library
- Place your original, face-down, on the glass plate of the copier and gently close the lid.
- Select the number of copies you require.
- Select any special settings you need - reduce, enlarge, etc.
- Press the green Print button.
- If you want to make more than one copy of an item, it is a good idea to make a single copy first and check the print quality before proceeding.
- When you finish copying, press any key on the card reader to log off
How do I print using CAPS?
- In the program you are using to view your document, select print from the File menu.
- Use the drop-down menu on the Print screen to make sure the correct printer is selected (CAPS printers are available on all UTAS computers but will need to be installed on personal computers using the information at http://www.utas.edu.au/service-desk/helpsheet/copying-and-printing-services).
- Click OK. A window will appear for you to enter your UTAS account name and password.
- Enter your username and password, and then click on OK.
- If you do not have sufficient funds then a popup will notify you of this. If you do have sufficient funds a window will appear with the name of the printer to which the job has been sent and the cost of the print job.
- If you have access to more than one account that has sufficient funds then a drop down box will allow you to select an account. Only one account will appear if you only have one account or you only have one account with sufficient funds.
- Click OK to confirm the print, or cancel to stop the print. If the cost seems too expensive, you may have accidentally printed too many pages, or chosen an expensive printer (eg, colour). If it seems too cheap, you may have printed the wrong frame of a framed web page. In either case, you should click Cancel and review the print settings.
- Click OK. A new window will appear to notify you which printer your job has been allocated to. Read the final message. The printer listed will soon produce your print job and money will be deducted from your CAPS account.
If your first attempt to print does not succeed DO NOT keep trying. This can cause damage to the printer or you may end up paying for multiple printouts that you don't want.
Check the following common issues first:
- Have you entered your CAPS username and password correctly?
- Is your computer sending your document to the printer you want? Check the name of the printer in the print dialogue box when you select print.
- Ensure that the printer is turned on and one green light is on. If a red/orange light is on this indicates a problem with the printer and you will need to contact either local support staff or the UTAS IT Service Desk.
There was a problem with my copy, or the machine I was using had a problem. What should I do?
It is best to first contact the owner of the copier, such as the Library, to report a problem with a copier. They will be able to investigate the problem and take appropriate action to help you produce a good copy or provide a refund. If there are no local staff available, please log a refund request via the Service Desk. When logging your request, please include the following information:
- Your username
- The name of the printer or print queue. This information should be on the printer (eg, ITS-LIB-PRT1)
- The approximate date and time you attempted to print
- The number of pages incorrectly charged, and the type of job (colour, A3, A4 duplex) or cost of the job.
- The nature of the fault (eg, printer jam, low quality, out of toner, etc.)
I was not prompted for a PIN, and my account balance appears as $3.50!
The CAPS device is operating in offline mode. This occurs when there is an issue with the CAPS system. You may use the copier as normal, up to a limit of $3.50. The CAPS device will record your usage, and debit your account when the CAPS system is restored.
My card is "locked", what does that mean?
A locked card usually indicates one of two things. The first is that the PIN has been mistyped several times and the system has locked the card as a security measure. Please contact the UTAS IT Service Desk for assistance. The second reason is that your account may be open on another device, such as another copier. Please ensure you log off any devices you have used previously by pressing any key on the card reader.
I am printing an Adobe Acrobat (PDF) file and the print is blank or incomplete!
If you are using Adobe Acrobat to print PDFs and find they are coming out blank or incomplete, it can be a good idea to try using the "Print as image" option. This can be found under "Advanced" in the print Adobe Acrobat print menu.
UTAS photocopiers must be used strictly in accordance with the provisions of the Copyright Act. In every case the onus is on the user to ensure that copying does not breach the Act. Any infringement is entirely the responsibility of the user. There are notices near most photocopiers setting out the main points of the Copyright Act.
